Global Operations Specialist

The Global Operations Specialists facilitate the tour selling process to all destinations in our portfolio, by providing support to the FIT and Group Divisions teams through securing confirmations of services, assisting with special requests and inquiries and distributing travel documents daily. Operations specialists correspond with global suppliers daily to obtain confirmations of services for complete travel itineraries, such as hotel accommodations, Transfers (transportation), Sightseeing tours, Car rentals, Airline reservations, Rail ticketing, etc. Among other responsibilities are Quality Control and detailed review of all aspects of trips’ operations to ensure integrity and accuracy of the information communicated to the suppliers and travelers. Operations’ Agents work in liaison with other departments such as: Accounting, Air Department and Sales daily.

Service Confirmation: Secure confirmations of services for FIT (Fully Independent Traveler) and Group Divisions teams to facilitate tour selling processes for global destinations.
Supplier Communication: Communicate daily with global suppliers to obtain confirmations of travel itineraries, including hotel accommodations, transportation, sightseeing tours, car rentals, airline reservations, and rail ticketing.
Special Requests and Inquiries: Assist with special requests and address inquiries from both internal teams and external clients regarding travel arrangements and services.
Document Distribution: Distribute travel documents to clients, ensuring accurate and timely delivery of itineraries, tickets, and other relevant information.
Quality Control and Review: Conduct thorough quality control and detailed review of trip operations to ensure the accuracy and integrity of the information provided to suppliers and travelers.
Cross-Department Collaboration: Work in liaison with other departments, including Accounting, Air Department, and Sales, to ensure smooth operations and accurate information exchange.
Problem Resolution: Address and resolve any issues or discrepancies that arise during the booking and confirmation process, ensuring customer satisfaction and seamless travel experiences.

Education: A high school diploma or equivalent is required; a bachelor's degree in a related field such as Tourism, Hospitality, or Business is preferred.
Experience: Prior experience in travel operations, customer service, or a related field is required. Experience working with global suppliers and managing travel arrangements is highly desirable.
Communication Skills: Strong written and verbal communication skills to interact with suppliers, clients, and internal teams effectively.
Attention to Detail: Excellent attention to detail to ensure accuracy in travel itineraries and other travel-related information.
Problem-Solving Skills: Ability to identify, analyze, and resolve issues that may arise during the tour selling and confirmation process.
Organizational Skills: Strong organizational and multitasking skills to manage multiple tasks and deadlines efficiently.
Technology Proficiency: Proficiency with common office software (e.g., Microsoft Office) and travel-related systems or databases.
Teamwork: Ability to work collaboratively with other departments and teams.
Flexibility: Willingness to adapt to changing requirements and work in a fast-paced environment.
